Our Accounting System Integration Framework
To ensure structured onboarding and controlled embedding, integration follows a staged approach:
Integration is managed across five key domains: access and permissions, communication and task management, document handling, data security and quality oversight. Each domain is addressed during onboarding and maintained as part of the ongoing engagement.
Software Access and Permissions
Felcorp staff are provisioned with the minimum permissions required to perform their assigned functions. Access is role-based and reviewed at onboarding, at any scope change and on exit.
- Accounting software access provisioned by the practice (Xero, MYOB, HandiSoft, APS or equivalent)
- Read and write permissions scoped to assigned client entities only
- No access to banking or payment functions unless explicitly authorised by the practice
- Access credentials managed by the practice; Felcorp staff do not hold master login credentials
- Access revocation managed by the practice immediately on staff exit
Communication and Task Management
Felcorp staff operate within your existing communication and workflow platforms. No proprietary tool is required.
- Email, Microsoft Teams, Slack or equivalent for daily communication
- Task management through your practice management software (e.g. Karbon, Ignition, XPM)
- Job briefs, turnaround expectations and priority flags communicated through agreed channels
- Escalation path defined at onboarding for queries, exceptions and urgent matters
- Regular status updates on active jobs as agreed with the practice manager
Document Handling
Document exchange and storage follow your practice's existing infrastructure. Felcorp staff do not introduce external document storage systems.
- Source documents provided via your practice's secure portal, shared drive or email
- Completed workpapers returned to your designated storage location or practice management system
- No documents stored on Felcorp internal systems beyond the active engagement period
- Felcorp Portal available as an alternative secure transfer channel where preferred
- Document naming conventions and folder structures follow your practice standards
Data Security
All Felcorp staff operate under contractual data confidentiality obligations. Security practices are aligned to the requirements of Australian accounting practices handling client financial data.
- Non-disclosure and confidentiality agreements in place for all staff
- No client data transmitted via unsecured channels
- Device and network security standards enforced across the Felcorp BPO environment
- Incident reporting procedures in place for any data handling concerns
- Consistent audit trails maintained through software access logs and consistent document practices
Quality Oversight
A dedicated QA manager is assigned to each Felcorp engagement to monitor output quality, manage performance and ensure the agreed service standards are maintained.
- Regular QA reviews of work output against agreed practice standards
- Performance feedback loop between QA manager, staff member and practice manager
- Escalation of recurring issues to practice management with resolution tracking
- SLA monitoring and reporting available on request
- Structured exit and replacement process if performance does not meet agreed standards
Where possible, Felcorp encourages the use of our secure Felcorp Portal for communication and storage rather than email-based document exchange.
